Meeting Rooms

Show live meeting room schedules and availability on your screens. Display your own manually managed rooms, or connect to Microsoft Outlook, Google Calendar, or a Humly room booking system to pull bookings automatically.

What does this module do?

The Meeting Rooms module turns any screen into a room information display — showing which meetings are scheduled, in which room, and when. You can either maintain rooms and meetings yourself in the module, or connect an external calendar so bookings appear automatically.

  • Two data sources — manage rooms and meetings manually, or connect an external calendar (Microsoft Outlook, Google Calendar, or Humly)
  • Automatic availability — the template shows what’s happening now and later, based on the current date and time
  • Recurring meetings — for manually added meetings, repeat daily, weekly, monthly, or yearly
  • Multi-day view — show today only, today and tomorrow, or three days ahead
  • Smart display — enable "Skip template if there are no meetings" so the template stays hidden on quiet days and appears automatically when there’s something scheduled
  • Timezone support — set the correct timezone when displaying Outlook rooms
  • Full styling control — customise header and row colours, text size, and fade-in animations

How to set up

There are two ways to use this module. Choose the setup that matches your situation.

Option A — Manage rooms and meetings yourself

Use this when you don't have (or don't want to connect) an external calendar.

Step 1 — Open the module

Navigate to Modules in the main menu and open the Meeting rooms module. You'll see an overview of all your rooms.

Step 2 — Add a meeting room

Click Add meeting room and enter the room Name (for example, "Boardroom" or "Room 1.02"). Save to add it to the list.

Step 3 — Add meetings to a room

Next to a room, click Meetings and then Add meeting. For each meeting you can enter:

  • Visitor name — the name shown on screen
  • Company name (optional) — the visitor’s organisation
  • Meeting message (optional) — a short description or note
  • Start time and End time — when the meeting takes place
  • Recurrence (optional) — repeat the meeting daily, weekly, monthly, or yearly
  • Image (optional) — a photo or logo to show alongside the meeting

Repeat for every meeting you want to display.

Option B — Connect an external calendar

Use this to pull bookings automatically instead of entering them by hand. The module supports:

  • Microsoft Outlook — room mailboxes are read via Microsoft, and their bookings appear automatically
  • Google Calendar — bookings from a connected Google calendar
  • Humly — rooms and bookings from a Humly room booking system, including live availability (green / yellow / red)

You select the source and the specific rooms in the template settings (see below). The external calendar keeps the schedule up to date on its own.

Step 4 — Select a template

Go to the template library and filter by Module templates, then choose a meeting rooms template. There are dedicated templates for custom rooms and for Outlook rooms.

Template & display settings

Configure how and what the template shows on your screens.

  • Content type — choose your data source: Meeting rooms module (your own rooms), Microsoft module (Outlook), or Google Calendar module
  • Room selection — pick which rooms to display for the chosen source
  • Days ahead — choose how far to look: Today, Today and tomorrow, or Three days ahead
  • Timezone — set the timezone (used for Outlook rooms; defaults to Europe/Amsterdam)
  • Slider speed — set how fast the display cycles through rooms/meetings when there are several to show
  • Skip template if there are no meetings — enable this to hide the template on days with nothing scheduled; it appears automatically as soon as there’s a meeting to show
  • Styling — customise the header colour and text, alternating row background colours, text size, and fade-in animations

For Outlook room templates you can additionally choose what to show — now and later today, only what’s happening now, or only later today — and pick a 12-hour or 24-hour time format.

Publishing

Add the template to your playlist once and set it to always play. The module handles what to show based on the current schedule, and (if enabled) hides itself automatically when there are no meetings.
