Register who is in the building — employees and visitors. Essential for internal communication and emergency situations. Works with touchscreens for interactive check-in.
What does this module do?
The Attendance & Visitor module registers who is in the building. It provides insight into the presence of employees and visitors, which is valuable for internal communication and essential during emergencies — so you can immediately see who is still in the building.
- Employee management — add employees with name, job title, department, location, and photo
- Custom statuses — create and manage statuses such as Present, Absent, In Meeting, Working From Home. Statuses can be configured to automatically reset to "Absent" at a set time (e.g., 23:00)
- Visitor registration — register visitors with just a name, meeting safety requirements without complex privacy concerns
- Google Calendar integration — link employees to their Google Calendar so their status automatically updates based on their schedule
- Personal mobile link — each employee receives a unique personal URL to update their status from any device (phone, tablet, or laptop), even when they are on the go or have already passed the screen
How to set up
Follow these steps to configure the Attendance module.
Step 1 — Open the module
Navigate to Modules and open the Attendance module.
Step 2 — Add employees
Add employees with their name, job title, department, location, and optionally a photo. You can also import employees from other modules or upload a CSV file.
Step 3 — Configure statuses
Create the statuses relevant to your organisation (e.g., Present, Absent, In Meeting, Working From Home). Optionally enable the automatic daily reset so all statuses return to "Absent" at a configured time.
Step 4 — Select a template and publish
Choose an attendance template from the library. For touchscreen setups, select an interactive template variant.
Template & display
The template shows the list of employees and their status, typically with coloured indicators (green for present, red for absent).
- Touchscreen functionality — this module works best on a touchscreen. Employees can tap their own indicator to change their status. They can also search by name or function (e.g., filter on "Emergency Response Officers" during an emergency)
- Visitor self-service — visitors can register themselves via a button (new visitor) and sign out (leaving the building)
Personal mobile URL
Each employee has a unique personal link to manage their status remotely.
There are several ways to save the personal URL for quick access:
Desktop / Laptop
- Create a desktop shortcut in your browser (Chrome, Edge, or Safari)
- Bookmark the URL in your browser
Android
- Open Chrome, navigate to your personal URL, tap the three dots menu, and select Add to Home Screen
iPhone
- Open Safari, navigate to your personal URL, tap the Share icon, and select Add to Home Screen
Combine the Attendance module with the Welcome module to automatically greet visitors when they check in at reception.
